We get it. Your packaging machine is down, production is stalled, and you need it fixed yesterday. The natural instinct is to call us and say, “Just send an engineer!” And while we understand the urgency, at Packserve, we’ve learned through years of experience that simply sending an engineer without the right preparation often leads to delays, wasted client money, and unnecessary downtime.
That’s why we’ve developed a structured, three-step “Get it Right” approach to maintenance – because getting it right the first time is the fastest and most cost-effective solution in the long run.

Initial Consultation: Understanding the Problem and Your Requirements
We believe in starting smart. Our process begins with an initial consultation, which can be conducted either on-site at your facility or via a call with one of our experienced team members. To help us understand the situation we encourage you to provide a short video. This visual information can be incredibly helpful in our initial assessment. This flexibility allows us to quickly assess the situation and get the ball rolling.
For Existing Machines (Fixing): During this consultation, we’ll discuss the specific issues you’re facing with your packaging machine. We’ll take the time to understand the symptoms, the machine’s history, and any recent changes that might have contributed to the problem.
For New Machines (Commissioning): We’ll discuss your specific requirements for the new packaging machine. We’ll take the time to understand the machine’s specifications, its intended role in your production line, any integration needs, and your overall project goals.
This initial meeting – whether in person or on the phone – allows us to understand the problem and assess your needs then agree on the scope of the work together. We’ll discuss potential solutions or commissioning plans and realistic timelines. This collaborative approach ensures transparency and helps avoid any surprises down the line. Our goal is to understand your needs and work with you to develop the best solution for your business.
Question we ask you:
- What is the machine’s make and model?
- Can you describe the problem in detail?
- What is the history of the machine, known maintenance schedule?
- What is the impact of the machine being down? (to get an idea of priority)

Detailed Inspection and Planning, Normally a One-Day Visit
Over years of experience, we’ve found that rushing into a repair or commissioning process without a thorough inspection is a recipe for disaster. That’s why this step is so critical. Once we’ve agreed on the scope, our engineer will conduct a thorough, in-depth inspection. This is typically a one-day, on-site visit. This is a chargeable service, but it’s an investment that delivers significant savings in the long run. We’ve seen firsthand how this “get it right” approach dramatically reduces repeat visits and unexpected costs. In fact, our data shows that clients who opt for the detailed inspection phase experience, on average, see a 32% reduction in overall repair costs and 21% less downtime compared to those who skip this crucial step.
Our highly skilled engineers are experts in working with a wide range of packaging machinery. They’ll use their expertise to pinpoint the root cause of the problem (for existing machines) or assess the installation environment and the machine’s readiness (for new machines). This detailed, one-day inspection and planning session is how we:
For Existing Machines:
- Identify only the necessary spare parts: Ordering the correct parts the first time is essential.
- Develop a precise and efficient repair plan: A thorough understanding of the issue allows us to plan the repair efficiently.
- Provide a firm and accurate quotation and a detailed report: The inspection provides the detailed information we need.
For New Machines:
- Identify all necessary preparations: We’ll assess the installation site for any necessary modifications, utilities requirements, or safety considerations.
- Develop a precise and efficient commissioning plan: A thorough understanding of the machine and its integration requirements allows us to plan the commissioning process efficiently.
- Provide a firm and accurate quotation and a detailed plan: The inspection and planning session provides the detailed information we need.
By investing in this detailed inspection and planning, you’re investing in getting your machine back online quickly and efficiently (for existing machines) or ensuring a seamless start-up (for new machines), minimising downtime, and ensuring you only pay for the parts and labour that are absolutely necessary. This “get it right” approach saves you money in the long run. We’ve tried the alternative – going in blind – and we found it’s simply not as effective or cost-efficient for anyone.
The output from this step is an engineer’s report and quote to resolve the problem.
Question we ask you:
- Do you have any documentation or manuals for the machine or do you need us to source these?
- Are there any specific safety requirements?

Scheduled Repair/Commissioning: Minimising Disruption and Maximising Performance
Once the quote is agreed and with a clear plan in place, we’ll work with you to schedule a convenient time for our engineer to return and carry out the repairs or commissioning process. We understand the critical nature of minimising disruption to your production schedule, so we’ll strive to schedule the work as quickly as possible while respecting your operational needs.
Our engineers will arrive on site with the correct spare parts and all the necessary equipment and expertise to complete the work efficiently. We’ll keep you informed throughout the process and ensure your machine is running smoothly and reliably before we leave. For new machinery, we’ll also provide training to your staff on the operation and maintenance of the equipment.
Question we ask you:
- What is your production schedule?
- Are there any specific training requirements for your staff?
